Acceptable Use Policy

The rules for acceptable use of the CAQA SMS website and platform.

This Acceptable Use Policy sets out how the CAQA SMS website, and the CAQA SMS student management platform provided under subscription agreements, may and may not be used. CAQA SMS is part of CAQA Groups and Career Calling International Pty Ltd (ABN 53 162 651 238). The policy exists to protect student data, subscribing organisations, other users and the service itself.

Who this policy applies to

The policy applies to every visitor to this website and to every user, administrator and organisation that accesses the platform. Our users are chiefly registered training organisations, CRICOS and ELICOS colleges, higher education providers and TAFEs, together with the administrators, compliance managers, trainers and student-support staff within them. Administrators should make their staff aware of this policy when granting platform access.

Use the service lawfully

The website and the platform must be used only for lawful purposes and in accordance with applicable law, including privacy, copyright, anti-spam and computer-misuse legislation. Student information handled in the platform must be information the organisation is lawfully entitled to collect and hold.

Accounts and credentials

Platform accounts are personal to the named user. Users must not share credentials, use another person’s account, attempt to access data beyond their permission level, or leave logged-in sessions accessible to others. Suspected credential compromise or unusual account activity must be reported to us immediately.

Prohibited conduct

Content standards

Material entered into or uploaded to the platform must not be unlawful, infringing, defamatory, discriminatory, offensive or misleading. Organisations must only store records they are entitled to hold, and must not upload content that has no legitimate connection to their student management, reporting or compliance activities.

Protecting student data

Users must access student records only where their role requires it, export data only where authorised by their organisation, use appropriately secured devices and networks, and handle exported data in line with their organisation’s privacy obligations. Our Data Processing and Security Notice explains how the platform protects data and where responsibility sits with the subscribing organisation.

Consequences of breach

Depending on the seriousness of a breach, we may issue a warning, require corrective action, suspend the affected account or, for serious or repeated breaches, suspend or terminate access in accordance with the subscription agreement. We notify the organisation’s administrator of action taken on its accounts, and we may notify law enforcement or regulators where the law requires or permits it.

Reporting misuse

If you become aware of misuse of the website or the platform, or of content that appears unlawful or harmful, please report it to info@caqa.com.au or call 1800 266 160. Reports are reviewed promptly and handled confidentially.

This website, payments and advice

This website offers information about the platform, an enquiry pathway and a newsletter subscription. No payments are taken through this website. Website content and support guidance are general information only and are not legal, regulatory or audit advice; decisions of regulators and funding bodies remain their own.
